Invoicing and payment software for coaches

What is coaching invoicing software?
Coaching invoicing software lets you raise a proper invoice for a session or package and collect payment inside the same workspace where your notes, programs and clients already live. Exantur does this through your own connected Stripe account (Stripe Connect, 0% platform fee), supports the payment methods Europeans actually use (iDEAL, Bancontact, SEPA and card), and produces EU-valid VAT invoices, so getting paid is part of running the practice rather than a separate chore in a separate app.
Getting paid should not mean a second app, a spreadsheet of who owes what, and a platform taking a cut of your fee. Exantur raises EU-valid invoices and collects payment through your own Stripe account, in the same workspace as your notes, programs and sessions, so the money side of the practice stays with the coaching rather than beside it.
For most coaches the billing problem is not one big thing, it is a dozen small frictions: a separate invoicing tool that does not know who your clients are, a payment link a client has to be nudged to open, a VAT line you retype every quarter, and the quiet worry that a platform is skimming a percentage of every fee. Because invoicing sits next to the coaching record in Exantur, an invoice is tied to the client and the work it belongs to, and the payment method your client prefers is one tap away rather than a manual transfer that lingers unpaid.
It forms part of Exantur, coaching practice management software created for how professional coaching actually works, instead of a generic project management app adapted after the fact.
Your own Stripe account, 0% platform fee
Client invoicing runs on your own Stripe account through Stripe Connect, so the money moves directly between you and your client and the payout lands where it should. The platform fee is 0%, you keep the full amount minus Stripe’s own processing. Payouts and payment methods stay yours, Exantur does not sit in the middle of your client payments.
Connecting Stripe is a one-time step: you link the Stripe account you already have (or create one during setup), and from then on invoices you raise in Exantur settle straight into it. Because the account is yours, refunds, disputes and payout timing are governed by your own Stripe dashboard and terms, not by a marketplace layer you cannot see into. This is a deliberate contrast with commission-based platforms: Exantur is not a marketplace, it does not take a percentage, and it never becomes the merchant of record for your fees.
Pay by iDEAL, Bancontact, SEPA or card
Clients pay the way they actually pay in Europe. Exantur supports iDEAL, Bancontact, SEPA direct debit and card, so a Dutch or Benelux client can settle an invoice in a couple of taps instead of a manual bank transfer. Fewer barriers to paying means fewer invoices left hanging.
Proper, EU-valid invoices
Every invoice carries correct VAT details and is EU-valid, ready for your accounting rather than something you rebuild by hand afterwards. Invoice status, draft, open, paid or void, is tracked against the client so you can see at a glance who has paid and who has not.
Employer and sponsor billing
Where a client is paid for by an employer or sponsor, the invoice is routed to that payer while the coaching relationship stays with the individual. The person you coach and the party who pays can be different without the coaching record getting tangled up in the billing.
Discount codes when you want them
You can issue your own discount codes on your Stripe Connect invoices, for a launch offer, a returning client or a package deal, without dropping your listed rate everywhere. Client invoicing is available from the Starter plan up; see the pricing page for what each plan includes.
Billing that lives with the coaching
The reason to bill from inside your coaching software rather than a standalone invoicing tool is context. When an invoice belongs to a specific client and the package or sessions it covers, you are not reconciling two systems that each hold half the picture. You open the client and see the coaching history and the payment history together: what was delivered, what was agreed, what has been paid and what is still open.
That same context makes the routine parts faster. Booking, sessions and invoicing all reference the same client record, so raising an invoice after a block of sessions does not mean re-entering names, rates or VAT details you already hold. The aim is not to turn a coach into a bookkeeper, it is to make the money side quiet enough that it stays out of the way of the coaching.
Frequently asked questions
- Does Exantur take a cut of my client payments?
- No. The platform fee is 0%, you keep the full amount minus Stripe’s own processing. Client payments run through your own Stripe account via Stripe Connect.
- Which payment methods can clients use?
- iDEAL, Bancontact, SEPA direct debit and card, so European clients can pay the way they normally do.
- On which plans can I invoice clients?
- Client invoicing is available from the Starter plan up. See the pricing page for the details of each plan.
- Can an employer pay for my client?
- Yes. The invoice is routed to the employer or sponsor while the coaching relationship stays with the individual.
- Are the invoices VAT-compliant for the EU?
- Yes. Each invoice carries the correct VAT (BTW) details and is EU-valid, ready to hand to your accountant rather than something you rebuild by hand. You remain responsible for your own VAT registration and rates; Exantur produces the compliant document.
- Do I need a Stripe account already?
- You connect a Stripe account during setup. If you do not have one yet, you can create it as part of connecting; from then on invoices raised in Exantur settle directly into your own account.
